HR Employee Assignments Status Filter Showing Incorrect Positions

Why past positions appear as Current, current positions only appear under Future, and how to fix it

Product: Sparkrock 365  |  Module: HR Management

QUICK FIX

Search for Job Queue Entries → find Object ID to Run 23068764 → choose Run once (foreground) → choose Set Status to Ready.

If that doesn't solve it, read on.

1. Symptoms

You may be seeing one or more of the following:

  • "Positions that have ended still show up when I filter by Current."
  • "An employee's current position only appears when I select Future."
  • "I can't select the right position when creating an HR Request."

2. Cause

The Status Filter on the HR Employee Assignments page (Current, Positions To Date, Future, All) relies on a status that is kept up to date by a scheduled job in the Job Queue. The same status is used when selecting positions on HR Requests.

If that job stops running, for example because it was put On Hold or failed with an error, the status is no longer refreshed when assignments start or end. Ended positions stay Current and started positions stay Future until the job runs again.

3. Fix

IMPORTANT: You need permission to manage Job Queue Entries to complete these steps. If you don't have access, ask your system administrator.

Step 1 — Locate the Job Queue Entry

  1. Use the search bar (Alt+Q), type Job Queue Entries, and open the page.
  2. Find the entry with Object ID to Run 23068764 (SRW Update HR Emp. Ass. Status).
  3. Check the Status column. If it shows On Hold or Error, the job is not running.

Step 2 — Run the Job Once

  1. Select the entry and choose Run once (foreground).
  2. This confirms the job runs without issues and refreshes the assignment statuses right away.
  3. If an error appears, take a screenshot and submit a support ticket.

NOTE: Run once (foreground) does not change the status of the Job Queue Entry. It only runs the job one time.

Step 3 — Set the Job Queue Entry to Ready

  1. With the entry still selected, choose Set Status to Ready.
  2. The job will now continue to run on its schedule and keep the statuses up to date.

Step 4 — Verify the Results

  1. Open HR Employee Assignments and set the Status Filter to Current.
  2. Confirm that ended positions no longer appear and that started positions are now listed.
  3. Open an HR Request and confirm the correct positions are available for selection.

TIP: Check this Job Queue Entry after an upgrade, or whenever the filter looks off, to make sure it is still Ready.
