Summary: How to post Fixed Assets after receiving "Acquisition cost must not be negative for fixed assets in depreciation book code" error
Details
When running the Fixed Asset Reclassification process, the acquisition cost of the asset can result in a negative value. To post the reclassification in the Fixed Asset General Journal, the "Allow Acquisition Cost Below Zero" field needs to be enabled. However, this field is not directly exposed in the user interface, so a workaround is required to modify it.
Resolution
In the Sparkrock 21.3 update, the "Allow Depreciation below Zero" field has been added to the Depreciation Book Card, eliminating the need for any previous workarounds.
For releases prior to version 21.3, please follow the workaround provided below.
Impact / Risks
If the "Use FA Ledger Check" field is not unchecked in the FA Depreciation Books for the specific fixed asset, the fixed asset reclassification may not post correctly in the Fixed asset general journal. It is important to ensure this field is unchecked both when creating the FA Depreciation Book and after setting up the Depreciation Book.
Workaround
After running the Fixed asset reclassification and you receive the negative error, follow the steps below;
1. Check the "Allow Acquisition Cost below Zero" field being visible in the Depreciation Book table( this field can be found using the config package to export the file then change the value to true. it is not a visible field on the depreciation book table, so you have to use the config package. Table is Depreciation Book (5611).
2. "Allow Depreciation below Zero" field being visible in the Depreciation Book card.
3. Uncheck the "Use FA Ledger Check" field in the depreciation book card.
4. Make sure the "Use FA Ledger Check" field is also unchecked in your FA Depreciation Books (for the specific fixed asset). This is true when you create the FA Depreciation Book after setting up the Depreciation Book.
5. Post the Fixed asset reclassification in the journal.
