How to update Expense Types Unit Cost

All fixed unit cost expense types like mileage usually require to be adjusted to new prices, regulations and changes in organization policies. If you navigate to Expense Types in Sparkrock 365 the Current Unit Amount field will be greyed out and modifying the Unit Amount does not result in an update of the current one. 
 

Resolution  

To update the Current Unit Amount you need to follow these steps:

  1. Navigate to Expense Types in Sparkrock 365 and open the one you would like to update.
  2. Fill in the Unit Amount field with the corresponding value. Repeat this for each expense type that needs to be updated before proceeding.
  3. Now that the changes are prepared, we will need to apply them. With a non-limited user, click on the gear icon at the top right and select My Settings

     
  4. Change your Role to Purchasing Agent
  5. From the new role center/home page, click the Search icon and type Update Expense Types Current Price

     
  6. Click on the corresponding link and after some seconds the system will let you know how many prices were updated.

     
  7. Change your Role back to the original
After completing these steps, you can navigate back to Expense Types and review that the changes have been applied. From now on, the Purchase Requests, Payment Requests and Expense Claims that you create will use the new value for each Expense Type.
