Hiring or Rehiring Employees

To hire or rehire an employee:

Create the HR Request Header

  1. Choose the icon that opens the Tell Me feature, enter HR Requests, and then choose the related link.
    The HR Request List displays.
  2. Choose New.
    A new HR Request page displays.
  3. Either click directly into the HR Reason Code field to allow the number to automatically populate, or select the number series you wish to use from the No. field. 
  4. In the HR Reason Code field, select either New Hire or Rehire.
    Note: If this is a new hire, the Employee No. field does not display.
  5. In the Effective Date field, select when the employee is due to start work.
  6. (If you selected Hire in step #2 above) In the Employee No. field, specify the employee number that corresponds to this HR Request.

Create the HR Request Body

  1. On the Action Bar, click Action > Details.
  2. The HR Request Details page displays.

    Note: The available fields on this page may vary, depending on the HR Reason Code you selected.
  3. In the First Name (Legal) field, enter the employee’s first name.
  4. In the Last Name (Legal) field, enter the employee’s last name.
    Complete the other fields as necessary.
  5. Expand the Assignment FastTab.
    The Assignment Start Date that you selected on the General FastTab carries forward to the Assignment FastTab.
    Note: When the Effective Date is selected on the main page, the Assignment Start Date defaults to the same value, although you can change it later if necessary.
  6. In the HR Position Code field, click the Look Up Value button.
    The HR Position List displays.
  7. Select the code representing the job that the new employee is being hired for and then click Ok.
  8. Expand the Payroll FastTab.
    Note: If you cannot view the Payroll FastTab, ensure that the User Setup page's Allow User to Access Compensation Data checkbox is enabled.
  9. In the Pay Step field, validate/update the default pay step. 
  10. (If prompted) In the Amount field, specify the payment amount. If the Pay Grid is a Fixed type, then the amount automatically populates. If the Pay Grid is a Range type, you are able to enter an amount above or below the range (for example, for red-circled employees). In this case, you will be prompted to ask if you are sure you want to do this as you tab out of the field.
  11. In the Hours/Week and Hours/Day fields, confirm that the appropriate hours per week and hours per day are populated. 
  12. In the HR Company Code field, choose a company from the drop-down list.
  13. Expand the Employee Benefits FastTab.

    The Employee Benefits FastTab must be completed if you are using either the OTIP or ONE-T payroll integrations. Benefit Group default values come from HR Position code but can be changed manually. The Benefit Annual Salary field defaults from the Amount field on the Payroll FastTab. The Benefit Effective Date field defaults from the HR request’s effective date.
  14. From the Benefit Plan Code drop-down list, select the benefit plan that applies to this employee (if any).
  15. In the Effective Date field, specify the effective date for this entry.
  16. In the Not Eligible field, add a checkmark if this employee is not eligible for the benefit plan. Otherwise, leave this field blank.
  17. In the Benefit Eligible Date field, specify the date when this employee is eligible for benefits.
  18. In the Benefit FTE field, specify the employee’s FTE for benefit coverage by them.
    Note: This field is only required if you are using either the OTIP or ONE-T payroll integrations. 
  19. Expand the Assignment Allocation FastTab.
  20. Expand and complete the Assignment Allocations FastTab if an employee’s assignment should be divided into multiple dimensions. For each allocation, select the Account Set Code from the drop-down list and specify a value in the Amount field.
  21. Expand the Assignment Details FastTab.

    The Assignment Details FastTab is used to store any qualifications that an employee may have.
  22. To add an existing qualification, select it from the Qualification Code drop-down list.
    Note: Only the classes that are related to an employee assignment display.
  23. Expand the Assignment Allowances FastTab.

    Use the Assignment Details FastTab to enter earnings that an employee might receive, but will not have a specific assignment for. For example, a stipend for a cell phone.
  24. In the Allowance Code field, choose the appropriate code from the drop-down list box.
  25. Complete the Start Date and End Date fields and (optionally) provide a description.
  26. Specify the allowance amount in the Total Amount field. 
  27. Click Close.
    You are returned to the HR Request Header.
  28. Process the HR Request.
