Config Packages are used in Sparkrock 365, to export, modify, and import data in a structured and controlled manner. Config Packages allow users to create a package of configuration data for a specific table or set of related tables in the system, and then export this data to an Excel file. The data can be modified in the Excel file and then imported back into the system using the same Config Package. This allows users to make changes to data in a controlled and predictable manner, without having to manually enter data into the system. Config Packages are commonly used when setting up new companies, migrating data between systems, or making bulk changes to configuration data. 

 

Resolution 

Important: Follow these steps in a sandbox or test company until you are comfortable making changes in Production. 

 

Creating and using a Configuration Package 

 

1. In the Configuration Packages page, click New to create a new configuration package. 

2. In the Code field, enter something that will help you remember what data you are changing. This example will use VENDOR, as we will be modifying the Vendor table. In the Package Name field, we used Vendor List, and Language ID, 1033 English. This information can be changed to suit your use case and language. 

3. On the Tables area, enter a new line by opening the assist edit button to the right of the Table ID field (click the three dots in image A.1) 

 

4. In the window that opens, search and select the Vendor table (ID 23). See steps 2, and 3 in the previous image, then click OK.

5. Then press ENTER or TAB. You will be asked to check related tables, click No.

6. Make sure the vendor table line is selected, select More options/Table/Fields. 

 

7. Expand the page and click the Clear Included button to clear all the selected fields.

8. Select just the fields you want to export using the package by checking the “Include Field” boxes for them.  

Tip1: The less fields you select, the faster the export and import process will be. 

Tip2:  Enabling Validation will ensure the data is validated during import.  

 

9. Optional: Add filters

  1. Define the filters:

    • In the "Configuration Package" card, go to the "Filters" FastTab.
    • Here, you can define filters based on various criteria like table name, object type, data range, etc.
  2. Add a filter:

    • Click on the "New" button in the "Filters" FastTab.
    • Choose the appropriate filter field, such as "Table Name" or "Object Type."
    • Specify the filter value based on your requirement. For example, if you want to export only a specific table, enter the table name in the "Filter Value" field.
  3. Repeat for additional filters (if needed):

    • If you have multiple filters, click on the "New" button again and add another filter.
    • You can add filters based on different criteria to include or exclude specific objects or data.

10. Click the back button and proceed to Export to Excel. Notice that exporting to excel can be done either on the line (image below) or the Config Package Card (Image in step #2). The latter will allow to export multiple lines at once.  

 

11. At this point, you will have an excel file with all Vendors and the fields exported. This fie can be edited e.g., to update phone numbers, bank accounts or other fields. Then the data can be reimported and applied to the system.

 

12. To import the data, click the Import from Excel button on the table or Config Package (multi-line). The import wizard below will allow you to confirm if the table is correct. If so, click Import 

 

13. The import process can be slow, depending on the number of lines and fields imported. Once this process is complete, you will receive a message to apply the imported data. Click Apply Package. This will provide a summary of the lines imported. 

 

Impact / Risks 

Using configuration packages is a delicate process. Please proceed with caution. 

  • By using configuration packages, we will be able to change only the field in the related table, but if the table is linked with other tables, the information will not get updated on the other tables. We suggest you utilize this process only when instructed to do it by Sparkrock Support team. 
  • Re-utilizing the same Excel file to import data could import data that is not up to date. Ensure fresh data is exported every time you run this process (Step 9). 
  • When filling the Excel file, users can introduce errors. For example, if we introduce a longer value than the limit of the field in Sparkrock 365, an error will pop up when
