  • Summary: Adding contract numbers to purchase requisitions (PRs) and purchase orders (POs) in Sparkrock 365.

Details

Currently, the procurement process involves creating a purchase requisition and submitting it for approval, followed by drafting a contract and getting it signed. The question is whether it's possible to add a contract number to the PR after it has been submitted/approved and if the contract number can also be added to the PO.

Resolution

  1. Adding Contract Number to Purchase Requisitions (PRs):
    1. Open the Purchase Requisition page in Sparkrock 365.
    2. If the "Contract No." column is not visible, personalize the view to display it:
      1. Click on the "Personalize" button in the top-right corner of the page.
      2. Select "Customize This Page" from the dropdown menu.
      3. In the customization pane on the right, click on "Add Column".
      4. Search for "Contract No." and check the box to add it to the view.
      5. Click on "Done" to save the changes.
  2. Adding Contract Number to Purchase Orders (POs):
    1. Open the Purchase Order page in Sparkrock 365.
    2. If the "Contract No." column is not visible, personalize the view to display it (follow the same steps as mentioned for PRs).
    3. Once the "Contract No." column is visible, you can add the contract number for each line item in the PO by entering the respective contract numbers in the column.

Please note that personalizing the view to display the "Contract No." column may vary based on user permissions and personalization settings.

Impact / Risks

Personalizing the view to display the "Contract No." column may affect the overall layout and display of the PR and PO pages. It's recommended to test these changes in a non-production environment before applying them to the live environment.
